The mere idea of building an event from scratch seemed impossible. No resources and no direction. What remained was the vision of holding an event for those who seek promotion or further guidance on their business. The call couldn’t be ignored, and the birth of a new outlet began to take form.
Hours upon hours were consumed by the thought of manifesting this “imagination.” Truthfully, the easiest route would have been hiring an event planner. However, due to the lack of immediate resources and a limited 2-month planning period, the actions that followed were based on budget or reducing unnecessary baggage. Thanks to current classes and services, the cost of the venue was covered. That may seem like a major advantage, but without extended resources, plans have to be formed carefully. The absolute main priority was finding a venue and dropping the deposit to secure the room. That’s where everything began.
The concept wasn’t clear at first and there wasn’t a particular target audience. The first question that came to mind was, “How can I relate the name to the vision of linking small and local businesses?” The name needed to be symbolic but attracts a crowd of individuals who purposefully seek togetherness with undertones of spirituality. Bingo. Sol that translates to solar and sync is a plug that’s inserted to enter or charge one’s vessel. The visual of the idea shows the sun beaming with a plug being inserted into this source. A symbolic and artistically simple way of translating the powered human SOL. From there, any flyer or form of advertising was immediately tackled. Thankfully, because of prior experience in advertising and digital development, the resources at hand helped back the budget tremendously. Hours upon hours were spent selecting fonts and stickers to fit the overall theme. Throughout the phases of approval or absolute disapproval, the flyer would be posted on all social media platforms before suddenly deleted because of a specific flaw. How convenient, right? Now imagine this reoccurring continuously for days. A cycle that seemed never ending and remaining a hardcore critic for the smallest misalignment.
Side note: When it comes to marketing or advertising on social media. If you are in need to relaying a message to the masses and you don’t have resources, contact a local business or a local influencer to make a video for you. For smaller businesses that are local, they’re open to you sharing flyers or pitching a proposal. Depending on who you ask and what their requirements are, you may have to pay a fee for promotions. This is absolutely essential compared to buying views directly from the application itself.
Aside from perceived lacks, the hardest and the biggest challenge was finding vendors who’d be willing to sell at the event. The focus wasn’t the crowd due to contacting and conversing with local businesses for support, including Paul Mitchell. That wasn’t an issue considering that’s where the CEO of KaLex Cosmetics received her license as an esthetician. So, the area wasn’t complex to navigate. For the majority of June time was spent on constantly messaging business owners and flooding different servers with information about Sol Sync.
A tool that became absolutely vital was Pinterest. The collage board and visuals of the decorations came from building the event based on “summer” themes. Collecting references from the app and pinning them on a board for potential gatherings. Super easy if you ask me. This isn’t including tracking the budget spending and managing the physical decorations.
For all small businesses owners, here is a grand summary on what I recommend for holding your first event to the public, here is the list:
Share your imperfect work. This includes advertising, marketing, promotions, or forms of pitching.
Don’t be afraid to ask for donations or extended funding from other business locally or in the same line of work.
Give yourself enough time to plan. 2 months isn’t enough time to plan a full event to that extent. 5-7 months is ideal.
You will never know unless you ask. Ask any and all questions to ANYONE. You never know who has resources or can aid you with what you’re lacking.
You need a community and you need a TEAM. Tackling task alone without any assistance can be harder and can be strenuous.
